Substitute Salary Schedule
Position Posting:
Performs general secretarial and receptionist duties using established and defined methods, practices and procedures. This is an on-call, substitute position, and candidates should be available to work on short notice. Flexibility in scheduling is essential.
GENERAL QUALIFICATIONS
- High school diploma or G.E.D. equivalent.
- One (1) year of clerical experience or any combination of education and experience, which provides the applicant with the knowledge, skills, and abilities required to perform the job.
- Must have the ability to relate in a positive way with supervisory staff, students and parents.
- Must have the ability to communicate effectively both orally and in writing.
- Good attendance and punctuality is required.
- Bilingual preferred.
JOB SPECIFIC QUALIFICATIONS
- Knowledge of office practices, procedures and equipment.
- Ability to operate standard office equipment such as multi-line phone, computer, 10-Key, and photocopier.
- Ability to work with a high degree of accuracy and attention to detail to meet deadlines.
- Ability to understand and execute verbal and written instructions, policies, and procedures.
- Ability to maintain confidentiality of sensitive information.
- Ability to complete tasks in a timely manner.
- Ability to work in a fast paced environment with many interruptions while completing tasks with a high degree of accuracy.
JOB DUTIES AND RESPONSIBILITIES
- Greet and assist visitors, students, and staff in a friendly and professional manner.
- Provide information and guidance to parents, students, and staff members as needed.
- Collaborate with teachers and other school staff to support daily operations.
- Relay messages and information accurately and promptly.
- Provide support to the building or department administrator as needed.
- Provide back-up assistance to other secretaries as needed.
- Perform receptionist duties by answering the phone and providing assistance to staff and the public.
- Maintain and update databases and spreadsheets.
- Type correspondence, bulletins, agendas, reports, and newsletters.
- Prepare, maintain and file detailed records such as daily attendance reports, and other student reports using office equipment such as listed above.
- Work with online attendance program; notifies parents by telephone when students are absent from school. Accurately report/distribute truancy information.
- Generate and distribute standardized reports and letters.
- Sort and distribute mail and district information.
- Assist students as directed.
- Address children’s health problems, accidents, etc.
- May maintain and monitor student immunization records.
- Be available on short notice to fill in for regular secretarial staff members.
- Adapt quickly to varying office environments and systems.
- Maintain excellent attendance; ensuring that all jobs accepted are worked and ample time is provided if it is necessary to cancel an assignment.
- Other duties as assigned.
