Status: Full-Time; 12 months (260 days), Union-Exempt Manager

Supervisor: Executive Director of Finance and Operations

Salary: $102,000

 

POSITION OVERVIEW

  1. The Financial Specialist plays a key role in managing the financial operations of the district, ensuring accuracy, compliance, and effective financial oversight. 

 

QUALIFICATIONS

  1. Associate’s degree in a related field required; Bachelor’s degree preferred. Prior  School District accounting managerial experience may be substituted for a degree year for year. 
  2. Minimum of five (5) years of successful school district financial experience.
  3. Excellent organizational skills and the ability to work independently.
  4. Strong written and verbal communication skills.
  5. Demonstrated integrity, professionalism, and ability to maintain confidentiality.
  6. Proven ability to build relationships and collaborate effectively with diverse populations within the school and community.
  7. Proficiency in using technology for financial processing, tracking, and administration.  Skyward experience preferred.
  8. Strong analytical skills with the ability to solve problems using a team-based approach.
  9. Ability to maintain professionalism and composure in high-pressure financial situations.

 Duties and Responsibilities:

  1. Responsible for the processing of invoices, tracking, and receiving payments, and for all follow-up for collection of bad debt.
  2. Works closely with building secretaries and other staff to ensure proper documentation for payments and accountability for monies deposited on behalf of the District.
  3. Works with the Executive Director of Finance and Operations to review and monitor purchases to ensure all policies and state laws are followed prior to processing payments.
  4. Balance and audit revenue collections for the general fund, capital projects fund, and ASB fund. Verifies revenue information ties to the Grant County Treasurer’s report.
  5. Works with Accounts Payable staff to maintain vendor files to include tracking and verification of information based on IRS and legal requirements for W9 and 1099 processes.
  6. Assists during annual state audits by providing requested documentation and answering questions about work and processes as needed.
  7. Ensure that all activities conform to district policy, procedure, and guidelines.
  8. Acts as liaison to the schools in regards to ASB transactions, assists building secretaries to ensure proper accounting procedures are followed.
  9. Responsible for mentoring Business Services staff and assisting with their needs to be successful.
  10. Work with the Executive Director of Finance and Operations in reconciling the general ledger with the County Treasurer and other subsidiary systems on a monthly basis.
  11. Manages accounts codes and prepares journal entries as necessary for all funds.
  12. Responsible for working with the Executive Director of Finance and Operations in year-end closing and balancing in preparation of annual financial statements (F-196).
  13. Responsible for budget development of non-personnel costs (F-195). Assists the Executive Director of Finance and Operations in forecasting revenues and expenditures, and monitoring of budget status throughout the fiscal year.
  14. Works with the Executive Director of Finance and Operations to review and monitor accounting transactions to ensure all policies and state laws are followed.
  15. Monitors and serves as the primary point of contact for school buildings on accounting practices or any changes in practices.
  16. Perform data analysis and provide financial reports as necessary to stakeholders.
  17. Works in conjunction with the Executive Director of Finance and Operations to maintain user access rights to district financial systems.
  18. Balance and audit accounts as necessary for the General Fund, Capital Projects Fund, Debt Service Fund, Transportation Vehicle Fund and ASB Fund.
  19. Monitor internal controls and direct accounting procedures within the district office and as needed in school buildings.
  20. Supervise accounting staff as assigned.
  21. Other related duties as assigned for the successful operation of the business office
