OVERVIEW OF THE POSITION:
The Administrative Assistant is the assistant to the central office administration and Board of Directors.
The Administrative Assistant serves as a confidential secretary to the central office administrators and Board of Directors, performing a variety of administrative duties. The position requires a general knowledge and understanding of all activities within the district. The Administrative Assistant is frequently confronted with office emergencies, interruptions, parent complaints, and changing priorities and is expected to resolve most office problems independently. The Administrative Assistant must be flexible and adaptive to duties including but not limited to administrative support, public relations, professional development, records/document management, meeting/event coordination, budget/purchasing, information/data management, data, and assessments.
QUALIFICATIONS
- AA Degree, BA preferred, or a combination of related training, education, or experience may be substituted for the degree
- Minimum of three (3) years of secretarial and/or public relations experience at a progressively responsible level
- Proven ability to process and maintain confidential information in an appropriate manner
- Demonstrated experience and evidence of accuracy, speed, and proficiency using Google applications including word processing, presentations, visuals, charts, data reports, spreadsheets, and calendar
- Excellent skills in “finish product” editing, spelling, grammar, proofreading, document mark-up, and layout
- Excellent written communication skills; demonstrated ability to communicate clearly and effectively with staff, students, and patrons, both orally and in writing
- Expert knowledge of Skyward/WSIPC or equivalent experience
- Ability to juggle multiple tasks under pressure while maintaining a high degree of accuracy and efficiency
- Successful experience dealing with conflict, emergency situations, parent complaints, and staff concerns in an educational setting
- Demonstrated ability to exercise sound judgment and initiative to set priorities, schedule, and coordinate multiple complex matters, while working independently
- Experience with the budget process and bookkeeping/accounting; school district budget experience desired
- Demonstrated ability to maintain respect, confidentiality of sensitive matters and records; knowledge of or experience with managing legally privileged communications desired
- Excellent public relations, customer service, and conflict resolution skills; must enjoy working and serving the public
- Demonstrated punctuality and an excellent work attendance record
- Demonstrated ability to establish and maintain professional, tactful, and cooperative working relationships with district employees and community
- Ability to work additional and/or flexible hours
- Demonstrated exemplary customer service responsiveness
- Bilingual/Biliterate Spanish/English preferred
DUTIES AND RESPONSIBILITIES
- Acts as a liaison between district administrators, staff, and community; handles correspondence, meetings, and communications on behalf of district administrators and the Board, ensuring smooth coordination and information flow.
- Promotes effective public relations with staff, community, and external organizations, responding to inquiries and concerns, and facilitating clear communication regarding Board meetings, district events, and public notices.
- Manages official district records, including contracts, policies, and Board documents, ensuring compliance with state laws and retention guidelines.
- Organizes and supports Board meetings, district functions, and special events, including scheduling, preparing materials, and making travel arrangements for the Superintendent and Board members.
- Monitors district budgets, assists with purchasing, and supports financial tasks, such as grant applications and compliance reporting.
- Researches, compiles, and maintains data and reports related to district operations, personnel, budgets, and instructional programs; supports website and security system access management.
- Coordinates professional development courses, facilitates Board member training, and manages district secretary meetings and staff support.
- Oversees office management tasks, building security access, and key inventory for various district locations.
- Performs special assignments as requested, including coordinating kindergarten registration and managing surplus requests.
- Other duties as assigned.
