Secretary I - Building Secretary

Endeavor Middle School

7.50 hours per day/195 workdays per year

(M-F) 7:15-3:15 pm 

Shift time is subject to building needs. 

 

 

 

SECRETARY I:  Performs general secretarial and receptionist duties, with a strong emphasis on student attendance record keeping.

GENERAL QUALIFICATIONS:

  1. High School Diploma or G.E.D. equivalent.
  2. One (1) year of clerical experience using various computer applications, or any combination of education and experience, which provides the applicant with the knowledge, skills, and abilities required to perform the job.
  3. Ability to successfully complete the following assessments:  typing test-Typing (upper Moderately Effective to Highly Effective range), math test, grammar test, basic excel test, proofreading test, and other assessments as applicable to the position.
  4. Ability to maintain the confidentiality of sensitive information.

ESSENTIAL FUNCTIONS:

  1. Assist in data entry for attendance, attendance reporting, attendance letters, and knowledge of attendance policy.
  2. Ability to assist the administration to track absenteeism, truancy reporting, attendance appeals, and coordinate BECCA documentation.
  3. Accurate record-keeping for State accounting/auditing purposes.
  4. Work with a minimum of supervision.
  5. Assist in student accident/health-related situations.  Be willing to receive medication administration training.
  6. Assist in answering the telephone, receive and respond to inquiries, concerns, and complaints by directing the calls to the correct department or an administrator and backup receptionist as needed.
  7. Assist in sending letters, forms, memoranda, and reports from notes, tapes, records, or general direction with accuracy; preview incoming correspondence and distribute as appropriate.           
  8. Establish and maintain filing system of detailed records including the updating, transferring, and purging of files.
  9. Work with phone messenger program/machine for daily absentee phone calls.
  10. Interprets as needed if an individual possesses multiple language skills.
  11. Must have excellent attendance.
  12. Perform other duties of a similar nature or level as assigned.

KNOWLEDGE REQUIRED:

  1. General office/secretarial practices and procedures.
  2. Common practices and procedures of processing and disseminating information and supporting documentation.

SKILLS REQUIRED:

  1. Able to communicate effectively both orally and in writing.
  2. Effectively use a variety of computer applications such as Google Docs, Sheets, etc.
  3. Ability to work in an office atmosphere, which requires assisting and working well with other staff members, parents, and students.
  4. Must have strong written and oral language skills, be detail-oriented and have excellent attendance.
  5. Ability to independently plan, organize, and coordinate assigned activities, often in the supervisors' absence.
  6. Ability to maintain the confidentiality of sensitive information.
  7. Knowledge of the SKYWARD system preferred.
  8. Bilingual in Spanish Preferred

TESTING REQUIREMENTS:

  1. First aid card may be required for specific positions
  2. Ability to successfully complete the following assessments: Typing (upper Moderately Effective to Highly Effective range), math, grammar, basic excel, proofreading, writing sample (optional), 10-key test (optional), accounting (optional) tests.
