POSITION OVERVIEW
The Student Enrollment and Records Specialist oversees the efficient and accurate management of student records and enrollment processes within the school district. This role involves collaborating with parents, students, and school staff to facilitate enrollment and registration procedures, while also providing training and support for software applications. The manager acts as a liaison between the school district and state education authorities to meet all state and federal reporting requirements.
MINIMUM QUALIFICATIONS
- Experience working with relational database systems, troubleshooting, and custom reporting.
- Extensive PC experience including Google and academic software.
- Ability to learn and apply new skills to accommodate changing work environments.
- Excellent interpersonal and communication skills.
- Strong organizational and record-keeping abilities.
- Proven ability to work independently and manage multiple assignments.
- Knowledge of relevant enrollment laws, policies, and procedures.
- Ability to provide demonstration and instruction of best practices to district staff.
- Experience in a school district working with student records data (preferred WESPaC or Skyward Software).
PREFERRED QUALIFICATIONS
- Experience with academic program planning and administration.
- BA/BS degree in Business Administration, Information Systems, Education, Administration, or a related field.
- Familiarity with state and federal reporting requirements.
- Experience in developing procedural documentation.
ESSENTIAL JOB FUNCTIONS
- Maintain an in-depth knowledge of the Student Information System suite of student management applications and Skyward.
- Manage CEDARS reporting errors and ensure compliance with state and federal requirements.
- Provide technical support and analyze school district data processing problems.
- Collaborate with district registrars, administrators, and the IT department to streamline enrollment processes.
- Develop and conduct training workshops for school district personnel.
- Act as a point of contact for parents, addressing enrollment-related questions and concerns.
- Maintain and regularly update district records, including student accident reports and discipline incidents.
- Complete and file enrollment reports with OSPI, generating statistics and trends for district administrators.
- Maintain secure and organized record-keeping systems for enrollment-related documents and databases.
- Serve as Skyward Student Management Security Administrator and manage interdistrict agreements.
- Update and maintain procedural documentation for secretaries and other district staff.
- Perform other duties as assigned.
