GENERAL DESCRIPTION:
The Transportation Secretary will perform various administrative tasks, record keeping, communication and coordination for both the operations and vehicle maintenance of the department to ensure the smooth functioning of school bus services.
QUALIFICATIONS:
- High School Diploma or GED equivalent.
- Demonstrated three (3) years of secretarial experience.
- Ability and knowledge to work to effectively use a variety of computer applications such as Google Suite, Office Suite, Skyward, Routing Software and Fleet Mgmt Software.
- Ability to work independently with a high degree of accuracy and attention to detail in all areas.
- Experience with budget process and bookeeping/account; school district budget experience preferred.
- Ability to maintain confidentiality of sensitive matters and records.
- Must possess a positive work ethic that exhibits punctuality and an excellent work attendance record.
- Excellent written and oral communication skills to clearly, professionally, and effectively interact with staff, students, and patrons through multiple forms of communication platforms.
- Possess or obtain within the first six (6) months, a Commercial Driver's License Class B with passenger, school bus and air brake endorsements.
- Possess or obtain within the first six (6) months, the Washington State School Bus Operators' Authorization.
- Abilility to follow safe work practices and procedures.
- Ability to work additional and/or felxible hours.
- School district experience preferred.
- Bilingual preferred.
ESSENTIAL JOB FUNCTIONS:
- Assist in point of contact responsibilites by answering and routing telphone calls, emails, and two-way radio providing assistance and information to staff, parents, vendors and the general public using tact, courtesy and good judgement.
- Independently perform tasks involving accounts receivables/payables, parts inventory, fuel usage, and other items pertitent to the department as it relates to opearations and fleet maintenance/repair.
- Format, type, edit and proofread correspondences, memos, forms, reports and other documents from handwritten draft, oral instructions using a variety of computer applications.
- Sort, file and maintain vehicle inspection sheets, work order and other shop documentation.
- Maintain and update computer databases and spreadsheets by verifying and inputing a variety of information to include but not limited to fuel logs, work orders invoices, parts ordering etc.
- Assist in budgetary tasks: process purchase orders and assign budget codes.
- Drive a school bus as needed.
- Meet schedules and timelines.
- Work a flexible schedule as required to meet the needs of the department.
- Understand and carry out assigned work with minimal supervision.
- Other duties as assigned.
TESTING REQUIREMENTS:
- First aid card may be required for specific positions
- Ability to successfully complete the following assessments: Typing (upper Moderately Effective to Highly Effective range). Current in-district employees with five (5) or more years of experience in the Moses Lake School District may have the typing test waived at the discretion of the principal/director.
